for Property Operations

We don’t operate on guesswork. Every project follows a defined workflow designed to keep timelines on track, ensure approvals are in place, and maintain full visibility from start to finish.

No Work Without Approval

All work is based on an approved Scope of Work (SOW) or Change Order (CO). This ensures full transparency and eliminates unexpected costs.

Clear Communication at Every Stage

We maintain consistent communication with clients throughout the lifecycle of each project, especially around timelines, approvals, and completion.

Accountability Across Roles

Each project is supported by coordinated roles between Office Managers and Property Managers, ensuring both execution and communication are handled efficiently.

Real-Time Tracking & Documentation

All projects are tracked through our system, with status updates, documentation, and communication recorded throughout the process.

OUR PROCESS

Step 1: Vacancy Confirmation

Every project begins with a confirmed vacancy. No work is scheduled or scoped until vacancy is officially verified by the client.

This ensures proper timing and avoids unnecessary scheduling conflicts.

Step 2: Scoping & Scope of Work (SOW)

Once vacancy is confirmed, scoping is scheduled and completed within 48 hours.

A detailed Scope of Work (SOW) is created outlining all approved work, which serves as the foundation for execution.

Step 3: Client Approval & ECD Alignment

Work does not begin until the SOW is approved by the client.

At this stage, the Expected Completion Date (ECD) is established, ensuring alignment on timeline and expectations before execution begins.

Step 4: Execution & Project Monitoring

Once approved, the Property Manager oversees execution of the work.

Progress is monitored, and updates are provided as needed to ensure the project remains on track and aligned with the approved scope and timeline.

Step 5: Completion & Client Communication

Upon completion, confirmation is sent to the client and project status is updated.

If delays occur, they are communicated in advance with a proposed ECD adjustment and supporting justification—never after the fact. 

Step 6: Final Inspection (If Required)

If a final inspection is required, the team ensures the unit is ready and coordinates completion accordingly.

This step ensures the work meets all requirements before moving forward.

Step 7: RRI Callouts & Corrections

If RRI (Rent Ready Inspection) callouts are received, they are reviewed against the original SOW.

Warranted items are completed as part of the original scope, while non-warranted items require a Change Order (CO) before any additional work begins. 

Step 8: Documentation & Closeout

All work is documented with completion photos and organized into structured records for client reference.

This ensures transparency and proper documentation for audits and reporting.

Step 9: Invoicing Readiness

Once all work and any RRI corrections are completed, the project is prepared for invoicing.

All required documentation—including approved SOWs, COs, and completion records—is verified before final submission.
